How to build portfolio reports people actually read

Almost nobody reads a forty-tab spreadsheet — not your accountant, not your lender, not you in six months. What they want is occupancy, rent recorded against rent billed, and what needs attention, on time, every time.

Lead with the headline numbers

Put occupancy, recorded versus outstanding, and notable activity at the top. Detail can follow for those who want it, but the summary should answer the obvious questions in seconds.

Make it repeatable

Reports that are generated from the operating record — rather than rebuilt by hand each period — arrive on a predictable cadence and never contain last-minute copy-paste errors.
